1. Who we are
Prycebook is operated by Byte Break Studios LLC, a Colorado limited liability company ("we", "us"). This policy explains what personal data we collect when you use Prycebook, why, how long we keep it, and the choices you have.
2. What we collect
Account data: your name, email address, password (stored only as a one-way hash), profile picture if you upload one, and your organisation's name, contact details and logo.
Content you create: price books, items, images, quotes, and the contacts you add — which may include your customers' names, addresses, email addresses and phone numbers — plus support tickets and their attachments.
Billing data: payments are handled by Stripe. We never receive or store your full card number or security code; we keep your Stripe customer and subscription identifiers, plan, status and billing dates.
Integration data: API keys (stored only as a one-way hash) and the webhook endpoints you configure.
Legal records: when you accept these documents we record the version, time, IP address and browser user agent.
Usage data: events such as quotes created, sent and accepted, and PDFs generated, linked to your account and organisation, so we can show you your own activity and understand how the product is used.
Diagnostic data: which pages and API endpoints an account requests and when, the referring page, and the names of submitted form fields — never their values, and never passwords, tokens, session cookies or payment details. We also keep standard server logs.
Email records: the recipient, subject, time and delivery result of every email we send, whether to you or to your customers on your behalf (such as quotes), along with a copy of the message.
Cookies: we use only cookies needed to run the Service — to keep you signed in, protect forms against forgery, and remember preferences such as theme and list filters. We do not use advertising or third-party tracking cookies.
3. How we use it
To provide and secure the Service, bill you, provide support, diagnose and fix faults, understand and improve the product, meet legal obligations, and enforce our Terms. We send service emails such as account, billing, quote and trial notices; onboarding emails during a trial can be unsubscribed from via the link they carry. We do not sell personal data or share it for advertising.
4. Your customers' data
For personal data about your customers that you put into Prycebook, you decide what is collected and why; we process it on your behalf to run the Service. You are responsible for having a lawful basis to collect and share it, and for responding to your customers' requests about it. When you share a quote link, anyone with the link can view that quote.
5. Who we share it with
We use service providers to run Prycebook: Google Cloud (hosting, databases and storage, in the United States), Stripe (payment processing) and Twilio SendGrid (email delivery). They process data on our behalf under their own terms. Data is also sent to webhook endpoints and API clients that you configure. We may disclose data if required by law, to protect our rights or others' safety, or as part of a merger, acquisition or sale of assets.
6. Retention
We keep account and content data while your organisation is active. If a trial or subscription ends without renewal, your organisation's data is kept for 30 days and then permanently deleted. If you request deletion of your organisation, it can be restored for 30 days and is then permanently deleted, and the accounts of its members who belong to no other organisation are anonymised. Usage events are kept for up to two years; diagnostic data for 30 days. Copies of the emails we send are kept for 30 days; the record that an email was sent is kept while your organisation is active and deleted with it. Deleted data may persist in backups for up to 30 days before those backups age out of rotation. Billing and legal-acceptance records may be kept longer where needed for legal, tax or accounting purposes.
7. Staff access
Our staff may view the application as your account sees it when necessary to provide support or investigate a problem. Each such session, and every change made during one, is recorded against the staff member who performed it.
8. Your choices and rights
You can update your profile and export your price book items, contacts and quotes as CSV from within the app. You may ask us for a copy of your personal data, to correct it, or to delete it by writing to the address below; depending on where you live you may have additional rights under local law. We may need to verify your identity before acting, and may keep data where the law requires or permits.
9. Security
We use reasonable measures to protect data, including hashed passwords and API keys, encryption in transit, and access to production data limited to staff who need it. No method of transmission or storage is completely secure, and we cannot guarantee the security of your data.
10. Children
Prycebook is a business service not directed to anyone under 18, and we do not knowingly collect their personal data.
11. International users
Prycebook is operated from, and its data is stored in, the United States. If you use it from elsewhere, your data will be transferred to and processed in the United States.
12. Changes
We may update this policy. When we do, we will ask you to accept the new version the next time you use Prycebook, and the version you accepted is recorded.
